The Responsibilities:

(1) To support sales functions in Sales Administration including stationing at the Sales Gallery on duty roster basis

(2) Open Grantee Files:

• Received sales documents i.e. PO, invoices, receipts, Inurnment Form as attached from sales agents.
• Key in customer’s particulars into data & file in all documents.

(3) Prepare certificate

• Monitor and ensure certificate issue once payment fully settled.
• Certificate print out for signing and send by post.

(4) Invoices & Receipts

• Issue invoices / receipts and send by post.
• Record payments / sales documents received (include PO, invoices, receipts) with attachment of cash, cheque or credit card before submitted to Accounts department.

(5) Prepare Memo

Duties & Responsibilities

• In charge of Indirect Material sourcing/procurement, perform vendor selection, evaluation and monitoring.
• Coordinate with internal & external parties (e.g. vendors, transporters, shipping agents, forwarders etc.) on the indirect material requirement planning until goods delivery. Ensure accurate goods receipt in system and monitoring inventory.
• Coordinate and verify vendors’ delivery and billings documents to ensure matching process smoothly done in SAP system. Monitor progress payment purchases especially for those engineering projects without disruption.
• Ensure all procurement activities and documentations are in accordance with the departmental procedures. Maintain proper control of records for quotations/ contracts and parts/products specification.
