Job Description

The Freight Forwarding Executive functions as an interface between international and domestics service providers and within broader business.

As the Freight Forwarding Administrator, you will be working within a close and supporting team environment within the Export/Import department. Overall, you will be providing your assigned clients base guiding them through a seamless shipping and logistics process and be the link between both internal departments and external service providers.

The role will include handling export/import shipments for all LCL clientele, from freight bookings, allocations to final delivery and cargo received to clients overseas.

Duties will entail and involve the following role process:

-Receiving and processing bookings of shipments.

-Coordinating bookings with shipping liners.

-Liaising and coordinating with clients, shipping carriers and overseas agents.

-Preparing relevant export documentation.

-Preparing freight/shipping rates, raising and issuing invoices.

Requirements: The candidate

Malaysian preferable female in age group 25-40.

The ideal candidates should have some 1-2 years of freight operations experience within forwarding or with co-loader in the logistics industry. In this connection, candidate with understanding of international shipping and also domestic transport will be highly advantageous to fill this role.

The successful candidates for this role will require excellent communication skills and the ability to negotiate and accurate comprehend information is imperative as you will liaise with a variety of stakeholders to collectively produce the desired outcome for the business clients.

職責與責任：

1. 協助會計/行政經理處理公司的會計活動。

2. 實施品質管理系統相關且要求的所有政策、活動、程序、指令。

3.準備付款/支票等相關文件。

4. 進行日常收款及開立正式收據、存入及收款報告。

5.處理零用現金和報銷。

6. 進行銀行往來調節、資料輸入、更新記錄和維護

職責

• 協助部門日常活動，包括跟進訂單、與生產人員協調生產排程、交貨期安排、經常與客戶溝通等。
• 準確、及時地處理所有訂單。
• 密切跟進緊急訂單、取消訂單和保留訂單，並向管理層報告客戶回饋。
• 配合倉庫、店面生產，安排日常出貨。
• 使用SQL系統處理日常採購訂單、樣品訂單、銷售協議訂單

• 已處理的庫存從倉庫轉移到客戶或客戶到客戶
• 為客戶退貨（好庫存或壞庫存）建立貸方票據。
• 為任何發票調整等建立貸項通知單和借項通知單：- 開立錯誤的項目或開立錯誤的價格。
• 處理沒有庫存的日常採購訂單，將縮排發送給採購部門進行下一個流程。專注於從採購部門追逐庫存以將貨物交付給客戶
• 處理來自shopee和lazada的每日訂單。協助解答電子商務平台的詢問並解決客戶問題。
• 更新信用部門的每個訂單的信用額度
• 發送電子郵件至 RFM 部門以取得每個 PO 的報價。
• 維護日常列印來自電子郵件或 Sparks 系統的所有採購訂單。
• 產生每個訂單的揀貨清單並透過電子郵件發送到倉庫進行揀貨。
• 每次交付時更新每日物流日誌和書籍運輸員。
• 按要求進行所有填充
• 解決客戶、銷售員和運輸商的投訴以及出現的任何問題。
• 協助辦公室的行政工作
• 維護員工的辦公室行政填寫和文具要求
• 協助員工考勤記錄
• 向高階營運經理匯報

要求

• 候選人必須至少在任何領域擁有SPM資格或以上資格。

About the company.

This is well established and leading well run international logistics company in Malaysia, providing international freight forwarding and logistics services across a wide range of industries and sectors. They operate from network of international agents across Asia, Australia, Europe and America. Currently they are seeking a matured female candidate to assume the role of executive support to their Director within the organization. The position is permanent and will be based at their corporate head office in Petaling Jaya. This is a rare and unique opportunity for a career driven Personal Assistant to join this successful organization.

About the role

This position will be reporting to Operations Director. This is not a typical traditional 'dairy management' private secretarial role but rather entail providing high level business executive support to the Director. 

The role and scope of works include:

*Pro-actively manage and provide secretarial and administrative support to Director.

*Responsible for providing high level executive and administrative on matters relating to freight services.

*Responsible for daily management, e-mails, preparation and formatting of reports.

*Respond and advise efficiently to electronic or verbal inquiries on all matters that concern the Director.

*Liaise and coordinate business decisions.

Candidate Profile

In this respect, candidate should possess a proven good command of English,both spoken and written; a good writing skills in English. Besides, a good business and PA background at senior level is essential and necessary. You need to be flexible and willing to take on tasks in quite a different areas of work in support of the portfolio of Director.

This role has extensive clients liaison so the candidate's ability to network with ease are traits that are essential for this exciting role. In this respect, we are looking for some one who can fit into this critical role with the following traits:

*Malaysian female in age group 35-45; matured personality.

*Matured, bright, lively and personable disposition and importantly approachable person.

*Possess at least a Diploma (or Degree) qualification in Business Administration, Secretarial Management or Logistics Management.

*At least 3-5 years of combined working experience as a Executive Assistant or PA in previous capacity role.     

*Good command of English,spoken and written plus conversant in BM and Chinese/Mandarin.

*Advance skills in Microsoft applications(Word, Excel and Power Point and Outlook).
