Job Title: Procurement & Sourcing Executive
Overview:
As a Procurement & Sourcing Executive, you will be responsible for sourcing, purchasing, and managing the acquisition of technical related goods and services required by the organization.
Your role involves sourcing for suppliers, coordinating with them for their services, negotiating contracts, and ensuring timely delivery of high-quality products at the best possible value. Your attention to detail, negotiation skills, and ability to manage procurement processes will contribute to the efficiency and cost-effectiveness of the organization's operations.
Candidates with experience of sourcing within the Oil and Gas Industry will be advantageous and preferred. (previous engineering equipment/parts sourcing is a minimum requirement)
Responsibilities:
Sourcing and Supplier Management :
- Identify potential overseas and local suppliers, assess their capabilities, and evaluate their products or services based on quality, price, and reliability.
- Build and maintain relationships with suppliers, negotiate contracts, and secure favorable terms and conditions.
- Conduct supplier performance evaluations and address any issues or concerns to ensure compliance with contractual agreements.
Purchase Order Processing :
- Receive and review purchase requisitions from various departments and project teams within the organization.
- Prepare and issue purchase orders to approved suppliers, ensuring accuracy and completeness of order details.
- Monitor purchase orders to track delivery schedules, resolve discrepancies, and expedite orders as necessary.
Contract Negotiation and Management :
- Negotiate terms and conditions of contracts, including pricing, delivery schedules, and payment terms, to achieve optimal value for the organization.
- Draft and review contract documents, ensuring compliance with legal and regulatory requirements.
- Monitor contract performance, enforce contract terms, and resolve disputes or deviations from agreed-upon terms.
Cost Analysis and Savings Initiatives :
- Analyze historical and past procurement data and spending patterns to identify cost-saving opportunities and efficiency improvements.
- Implement cost-saving initiatives, such as bulk purchasing, vendor consolidation, and strategic sourcing strategies.
- Monitor and report on procurement metrics, including cost savings, supplier performance, and compliance with procurement policies.
Compliance and Risk Management :
- Ensure compliance with procurement policies, procedures, and regulations, including ethical sourcing practices and supplier diversity initiatives.
- Conduct risk assessments of suppliers and supply chain processes to mitigate potential risks related to quality, reliability, or sustainability.
- Stay informed about industry trends, market conditions, forex trends and law & regulatory changes affecting procurement activities.
Qualifications :
- Candidate with formal qualification in Business Administration, Supply Chain Management, Procurement, or related field will be evaluated favorably.
- At least 5 years proven experience in procurement, purchasing, or supply chain management roles, preferably in an Oil & Gas, Power or other related technical industry.
- Strong negotiation skills and ability to build and maintain effective relationships with suppliers and internal stakeholders.
- Proficiency in procurement software and systems, as well as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent analytical and problem-solving abilities, with attention to detail and accuracy.
- Strong communication and interpersonal skills, with the ability to collaborate across departments and levels of the organization.
- Required languages: Bahasa Malaysia, English – however the ability to communicate in other languages will be a bonus.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Knowledge of procurement best practices, contract law, FIDIC form of contract will be desirable.
